These General Terms and Conditions apply to all offers, reservations and agreements relating to the rental of accommodation at The Firs Suffolk.
Tenant” refers to the person entering into the rental agreement with The Firs Suffolk.
User” or guest” refers collectively to the tenant and all persons staying in, or using, the rented accommodation.

1. Bookings

Only persons aged 18 or over may make a booking.

The Firs Suffolk reserves the right to refuse any booking without giving reasons.

Booking confirmations and invoices are emailed within 1 working day.

The tenant must check all details immediately and report any errors within 10 days or before arrival.

If no confirmation is received within 1 working day, the tenant must contact The Firs Suffolk.
2. Group Bookings
Group bookings may be subject to additional conditions relating to size, purpose or supervision. The Firs Suffolk may decline group bookings at its discretion.
3. Prices
* Prices listed on [www.thefirssuffolk.co.uk](http://www.thefirssuffolk.co.uk) are non-binding and may change.
* Incorrect prices will not be honoured; the correct rate will be provided.
* Once a booking confirmation is issued, the stated price is binding.
* Discounts cannot be applied retrospectively.
* Prices include VAT where applicable.
* Prices may change due to statutory adjustments.
4. What’s Included
Your stay includes:
* Accommodation rental
* Access to The Firs Suffolk grounds
* Water, electricity, heating & hot water
* WiFi
* Approx. 8kg firewood (stove/fire pit) & 15kg for hot tub
* Bed linen, towels & kitchen linen
* Final cleaning
* Booking & admin fees
* VAT where applicable
5. Payments & Standard Cancellation Terms
Payment Schedule (Non-Promotional Bookings)
If arrival is within 90 days → full payment due at booking.
If arrival is more than 90 days →
* 20% deposit due at booking
* Remaining balance due 90 days before arrival
Standard Cancellation Terms
* > 90 days before arrival → deposit retained
* 90–60 days → 50% of booking total
* 60–30 days → 75% of booking total
* <30 days → 100% of booking total
Travel insurance is strongly recommended.
6. Promotional Offers & Special Rate Policy
6.1 General Promotional Terms
* Promotional offers apply only during their advertised period.
* Offers apply to accommodation only, unless stated otherwise.
* Promotional discounts cannot be added retrospectively.
* Promotional codes must be applied at the time of booking.
* Promotional bookings cannot be combined with any other offers.
6.2 Payment & Cancellation Terms for All Promotional Bookings
*(This section applies to Black Friday and all future promotions.)*
A. Payment Terms
1. Stays taking place within 120 days of booking
* Must be paid in full at the time of booking.
* No deposit option applies.
2. Stays more than 120 days ahead
* A £100 non-refundable promotional deposit is payable at the time of booking.
* The remaining balance is due no later than 31 January following the promotional period.
* Example: A promotional booking made in Nov/Dec 2024 must have the balance paid by 31 January 2025.
3. Non-payment of balance
* If the balance is not paid by 31 January, the booking will be cancelled and the £100 deposit retained.
B. Cancellation & Amendments for Promotional Bookings
* The £100 promotional deposit is strictly non-refundable, regardless of circumstances.
* After the remaining balance is paid, standard cancellation terms apply.
* Date changes may be allowed at the discretion of The Firs Suffolk and may be subject to rate differences or admin fees.
* Promotional bookings cannot be combined with any other offers unless explicitly stated.
C. Damage Liability (Promotional Bookings)
* Promotional stays follow the standard damage liability rules.
* Large group bookings may require a refundable group damage deposit.
7. Booking Alterations
* No changes are permitted within 4 weeks of arrival unless agreed
* All changes must be requested by the main booker.
* Amendment fees:
* £55 for booking alterations
* £15 for changes to extras
* Upgrades to a more expensive period incur no amendment fee.
* Reducing the number of lodges after booking is treated as a cancellation.
8. Transfer of Rights
Accommodation cannot be transferred to another party without written permission from The Firs Suffolk.
There is no statutory 14-day cooling-off period.
9. Arrival & Departure
* Check-in: from 16:00
* Check-out: by 10:30
* Late Sunday check-out (16:00) only with prior booking.
Complaints should be reported immediately and in writing to info@thefirssuffolk.co.uk
10. Domestic Regulations
Guests must follow on-site rules and instructions.
Failure to do so may result in removal without refund.
Maintenance works may occur without compensation.
11. Internet Use
The Firs Suffolk is not responsible for interruptions in WiFi, utilities or network services.
12. Hot Tub Use & Safety
The hot tubs are for relaxation and must be used safely.
General Safety
* Children under 4 years old may not enter the hot tub.
* Children aged 4–16 must be supervised by a responsible adult.
* Please shower before entering and avoid submerging your head.
* Enter carefully; surfaces can be slippery.
* No jumping, diving or misuse of the tub or cover.
Health Considerations
Do not use the hot tub if you:
* Are pregnant (unless medically approved)
* Are under the influence of alcohol, drugs or sedative medication
* Have heart disease, circulation issues, diabetes, infectious illness, or open wounds
Operation & Temperature
* Maximum safe water temperature: 40°C
* Keep the tub covered when not in use
* Do not tamper with electrics or controls
* Do not touch the stove or flue
* Only firewood provided by The Firs Suffolk may be used
Guest Responsibility
* Misuse or contamination requiring a full drain/refill may incur charges.
* The main booker is liable for safe use by all guests.
13. Extras
Optional extras (catering, bicycle hire, etc.) have their own terms and availability.
14. Damage, Liability & Use of Property
* The main booker is responsible for any and all damage, breakages, misuse, or excessive cleaning required due to their stay.
* Lodges, interiors, private gardens and all outdoor spaces must be left in the same clean, tidy and orderly condition in which they were found.
* Pets are not permitted anywhere on the property (indoors or outdoors). Evidence of pets may result in cleaning charges and termination of stay without refund.
* The Firs Suffolk does not accept damage waiver products; all damage is chargeable to the main booker.
* Larger or higher-risk groups may be required to pay a refundable group damage deposit.
